In the context of promoting the national digital transformation efforts, managing, digitizing, and effectively utilizing internal databases is an urgent requirement for agencies, organizations, and enterprises. Currently, popular Artificial Intelligence solutions, although capable of processing extensive information, do not meet standards for cybersecurity and often lack accuracy when handling the specific data of each unit.

To thoroughly address the existing issues, I have developed the AI Staff System. The RAG system is absolutely secure and only retrieves information based on the internal data source of the managing agency or unit.

The system is designed with the following features:

1. Home Page: Central dashboard displaying upcoming deadlines, schedule, and AI usage statistics, helping users to have an overview of tasks right upon opening the system.

2. AI Chat: A chat space with an AI assistant, supporting Q&A, image/audio file analysis, integrating the RAG knowledge base to provide accurate answers based on uploaded documents; can switch to creative mode to function like a regular AI.

3. Tasks: Managing task progress, allowing task creation, assignment, deadline setting, and priority level attachment; provides notifications of pending tasks on the menu bar.

4. Smart Notes: A space for drafting and storing working content, drafts, ideas; integrating AI to assist in editing, rewriting, and improving the quality of text.

5. Document Management: Storing and managing frequently used forms, reports, official letters, and documents.

6. Knowledge Base (RAG): A place for storing and processing documents such as laws, decrees, internal texts; the system automatically generates vectors for accurate AI retrieval, while also supporting knowledge sharing and individual knowledge permissions.

The system is designed with the following technologies:

1. RAG: Provides the ability to receive and process various formats of administrative documents (DOCX, PDF, TXT). The system automatically digitizes, classifies data, and embeds vectors. The AI staff is programmed to respond to information with absolute accuracy, strictly adhering to the content of the provided data and must clearly cite the source of documents.

2. Multi-Model AI Integration: Allows flexible compatibility with various AI models, supporting the integration of local AI models (Local LLM) directly on the unit's server, meeting the highest standards for protecting state secrets and internal information.

3. API Management and Load Balancing: Applies intelligent rotation algorithms, allowing simultaneous management of hundreds of APIs. When an API encounters an error, the system automatically routes to a backup code, ensuring service continuity without disrupting the user's work.

4. SaaS: Completes and synchronizes all functional sub-systems including: Identity registration, Statistical reporting interface, Multi-level access permissions, and a fee management and service registration system.

5. Administration: Allows monitoring of access history, managing AI usage traffic, updating new analysis algorithms in real-time without needing to suspend the system, while also auditing the entire knowledge base system.

6. Interface: Supports the system in receiving attachment files (images, audio) and advanced text format processing capabilities (markdown, tables).
